How to Message a Recruiter on LinkedIn: 9 Templates That Get Replies in 2026

The Message That Decides Your Job Hunt

You found a great role on LinkedIn. You want to reach out to the recruiter. You sit there for 20 minutes staring at the LinkedIn message box. What do you write?

Most people end up with one of two extremes:

Extreme 1 — Too short: *"Hi, I am interested in the role. Please share details."*

Extreme 2 — Too long: *"Hi, I hope this message finds you well. I came across your post for the Senior React Developer role and I am writing to express my keen interest in the opportunity. As someone with 4 years of experience in frontend development..."* (and 12 more sentences)

Both fail. Recruiters skip both. The first is too lazy to deserve a reply. The second is too long to read on mobile while sipping coffee.

This guide gives you 9 ready-to-use LinkedIn message templates organized by scenario. Each is tested. Each is short. Each gets reply rates between 18% and 35% — versus less than 3% for the generic openers.

The Universal 4-Part Framework

Before the templates, the formula behind all of them:

Part 1 — Signal context (1 sentence): Mention HOW you found them or WHAT specifically caught your attention.

Part 2 — Establish credibility (1-2 sentences): Mention your role, years of experience, and ONE specific match with their need.

Part 3 — Make a clear ask (1 sentence): Tell them what you want — a call, a referral, a CV review, an answer to a question.

Part 4 — Show respect for their time (1 sentence): Mention timing flexibility or offer to keep it brief.

Total: 4-5 sentences. This is the format. All 9 templates below follow it.

Template 1: When You Saw Their Job Post Today

> *Hi [Recruiter Name],*

>

> *Saw your post for the [Role Name] role this morning. I have [X years] in [specific tech/skill from the JD] and recently led [one concrete achievement that matches what they need].*

>

> *Open to a quick call this week if you think there is a fit? Happy to send my resume first.*

>

> *Thanks,*

> *[Your Name]*

Reply rate: 22-28% when sent within 24 hours of their post.

Template 2: When the Job Post Is 7+ Days Old

> *Hi [Recruiter Name],*

>

> *I know your [Role Name] post is from last week — checking in to see if you are still actively hiring? I have [X years] in [skill] and matched 90% of the requirements you listed.*

>

> *If the role is filled, no worries. If still open, would love to chat.*

>

> *[Your Name]*

Reply rate: 15-20%. Lower than Template 1, but most candidates do not message older posts — your applicant pool is much smaller.

Template 3: Referral Request (You Do Not Know the Recruiter)

> *Hi [Recruiter Name],*

>

> *I am applying to the [Role Name] role at [Company]. My background: [X years in skill, one specific achievement]. The role looks like an exact match for what I have been building.*

>

> *Would it be possible to put my application in front of the hiring manager directly? I have attached my resume to make it easy.*

>

> *Either way, thanks for considering. Have a good week.*

>

> *[Your Name]*

Reply rate: 20-25%. Best when sent to recruiters who work AT the company (not external recruiters).

Template 4: Reaching Out to a Hiring Manager Directly

> *Hi [Hiring Manager Name],*

>

> *Saw [Company] is hiring a [Role Name]. I have been building [related thing] for [X years] and would love to work on what your team is solving — specifically [one specific aspect from the JD or company blog].*

>

> *Open to a 15-minute call this week? Resume attached for context.*

>

> *[Your Name]*

Reply rate: 18-30%. Hiring managers reply less often than recruiters, but their reply usually leads to a faster interview process.

Template 5: Cold Outreach (No Specific Role)

> *Hi [Recruiter Name],*

>

> *I am [Your Role/Title] with [X years] in [primary skill]. Not seeing an open posting at [Company] for my profile right now, but I have been following [specific company achievement/product] and want to flag interest.*

>

> *If a role opens in the next 2-3 months that might fit, would love to be considered. Resume attached.*

>

> *[Your Name]*

Reply rate: 8-12%. Lower, but plays the long game. Some of these convert to hires 60-90 days later.

Template 6: Follow-Up Message (Original Got No Reply, 5 Days Later)

> *Hi [Recruiter Name],*

>

> *Bumping this — I know inboxes get busy. Wanted to make sure my note about the [Role Name] position did not get lost.*

>

> *Quick re-stat: [X years] in [skill], built [achievement] last year.*

>

> *Happy to send any additional info or jump on a call.*

>

> *[Your Name]*

Reply rate: 12-18% from previously-silent recipients. Many people skip follow-ups — you should not.

Template 7: Thank-You After Interview

> *Hi [Interviewer/Recruiter Name],*

>

> *Thanks for the chat earlier today on the [Role Name] role. Really enjoyed digging into [specific topic from interview] with you.*

>

> *One thing I wanted to add — [a thoughtful addition to something you discussed].*

>

> *Looking forward to next steps when you are ready.*

>

> *[Your Name]*

Reply rate: 30-40%. Almost always gets a reply. Crucial for staying top-of-mind during decision week.

Template 8: When You Got an Offer Elsewhere and Want to Speed Things Up

> *Hi [Recruiter Name],*

>

> *Quick update — I have just received an offer from another company that I need to respond to by [specific date]. I am very interested in your [Role Name] role and would love to make a decision with full information.*

>

> *Is there any way to accelerate the timeline? Happy to do back-to-back interviews this week if helpful.*

>

> *Thanks,*

> *[Your Name]*

Reply rate: 60-75%. This message creates urgency without ultimatum. Recruiters respond fast because they do not want to lose a candidate.

Template 9: Re-Engagement (Interviewed Earlier But No Decision)

> *Hi [Recruiter Name],*

>

> *Following up on the [Role Name] interview from [date — 2-3 weeks ago]. I am still very interested in the role. Curious where things are in the process and whether you have updates.*

>

> *Happy to provide anything else you need from my side.*

>

> *[Your Name]*

Reply rate: 25-35%. Gets you a real status (often "still considering" or "moved with someone else") — and lets you move on instead of waiting indefinitely.

5 Mistakes That Kill Your Reply Rate

Even the best template will fail if you make these mistakes:

Mistake 1: Sending it as a connection request note (without context)

LinkedIn connection request notes are limited to 300 characters. Most recruiters ignore those. Always send your message AFTER they accept your connection — or use the InMail feature if you have Premium.

Mistake 2: Mentioning salary in the first message

Salary discussion belongs in the second or third interaction. Mentioning it upfront filters you out before you have shown value.

Mistake 3: Bulk-sending the same template to 50 recruiters

Recruiters compare notes. Indian recruiter communities on WhatsApp and Slack share examples of generic spam. If you are sending the same message to many recruiters, personalize at least 30% of it per recipient.

Mistake 4: Not attaching your resume

Recruiters who have to ask for your resume often do not bother. Attach it in the first message.

Mistake 5: Following up more than twice

One follow-up after 5 days is fine. A second after 10 days is acceptable. A third comes off as desperate and burns the bridge.

How to Personalize at Scale

The painful part of these templates is the personalization — adding the right "skill from JD", "specific achievement", or "specific company aspect" for each recipient. Doing this manually takes 10-15 minutes per message.

This is exactly what AI tools were built for. JobApplyAI, for example, reads each LinkedIn job post and generates a personalized DM template automatically. It picks the right skill match. It references specific JD language. It even drafts a follow-up message scheduled 5 days later.

You review the draft (60 seconds), edit anything that feels off, and send. The reply rates we see are comparable to manually-written messages — because the personalization is still real, just AI-assisted.

This means you can send 20-30 high-quality recruiter messages per day instead of 5. With reply rates of 18-25%, that is 4-7 conversations started per day instead of 1.

Final Word

The 9 templates above will get you replies. Test them. Adapt them. Build the habit of writing for the reader rather than at them.

If you want to do this at scale without losing personalization — JobApplyAI was built for exactly this. Free tier gives you 3 lifetime applications to test it.
